The Zally agents
Zally is not one tool that does faxes. It is a set of agents that take on the administrative work of a practice, one job at a time — all inside DrChrono.
Every agent below is included. There is no per-agent pricing and nothing is gated — the plan price varies with the size of your practice, not with how much of Zally you switch on. Appointment calls are the one exception: those are billed by the minute, because they cost by the minute.
Inbound fax
In productionEvery fax read, filed and routed
Reads each incoming fax with OCR and vision, works out what it is, finds the patient by name and date of birth, creates the chart if they are new, attaches the document with a descriptive label, and creates a task assigned to the person who owns that kind of work. What it is not confident about, it escalates to a named person with everything it extracted — it does not guess.
Running every business day since early 2026 at ~50 faxes a day.
Outbound clinical notes
In productionNotes sent back out the moment they are signed
When a provider locks a clinical note, Zally faxes it to the referring provider and the PCP, and delivers to the patient portal where that is enabled. It matches the right recipient by fax number rather than by name — because dozens of providers share one practice fax, and three people with the same name may not.
Retries anything that was not locked in time, so nothing is silently dropped.
Records requests
In productionRequests answered, with an audit trail
Handles requests from attorneys, insurers, disability examiners and other practices. Identifies the requesting party and the service date range, gathers the locked notes and studies that fall inside it, sends them, and records exactly what went where.
Every send writes a row only after DrChrono confirms it: timestamp, recipient, fax number, which documents, which dates, and the outcome. When a request is disputed months later, you can prove what left the building.
Authorizations
In productionAuthorizations entered, not just filed
Reads insurance and imaging authorizations, extracts the authorization number and valid date range, attaches the document, updates the patient flag and enters the authorization.
This is the gap that costs the most quietly — a document filed to the chart but never entered as an authorization looks handled, and the claim still gets denied.
Benefit limits
In productionPatients who have run out of covered visits, flagged before they arrive
Counts how many times a limited procedure has already been billed for a patient inside the payer's window, and writes the count onto the appointment before the visit — so staff know who is now self-pay before the patient is on the table.
Configured per practice: your codes, your limit, your window. Trigger point injections capped at three a year is one example; therapy visit caps, manipulation limits and imaging intervals work the same way.
Task routing and escalation
In productionWork that lands on the right desk, and does not sit
Routes each task to the right person by provider, document type and your own rules — not to a shared queue. Tracks what is waiting, what is blocked, and what has been held too long, and escalates rather than letting it age.
Held and escalated work is visible rather than discovered.
Payment reconciliation
In productionA daily answer to: did we collect what we should have?
Walks yesterday's completed appointments, reads the flags to work out what should have been collected, checks what actually was, and reports the gaps.
It reports — it does not post payments or move money. The output is a daily list of appointments where something was owed and nothing was taken.
Voicemail triage
In productionVoicemails read, sorted and turned into tasks
Reads voicemail transcriptions, works out who the patient is and what they need, and creates the task for the right person — so the queue is not listened to end to end every morning.
Appointment confirmation calls
Needs phone setupBilingual calls that confirm, reschedule or cancel
Calls patients ahead of their appointment, confirms in English or Spanish — switching language automatically from the first word the patient speaks — and records the outcome back against the appointment. Handles reschedule and cancellation requests rather than only reading a script.
Requires a one-time setup with your phone provider so Zally can place and answer calls on your existing line. We handle the configuration; your provider needs to enable it. Calls are billed by the minute on top of your plan.
Configured for your practice, not ours
Your providers, your staff, who receives which kind of task, the document types you actually see, the payers you actually bill, and the limits you actually need tracked — all of it is set per practice during setup. A pediatric practice and a surgical practice do not see the same fax line, and Zally is not configured as though they do.
